The Project Coordinator coordinates and performs administrative tasks required for day-to-day project operations to support and assist the superintendent, project manager, and/or others on the team. This position will report to a project manager or the senior PM but may have duties and responsibilities across multiple groups within operations.

This position requires the capacity to work on multiple projects in various stages simultaneously and requires the capacity to work for multiple managers with diverse work styles in a team environment. The focus of this position is a confident, independent action, initiative, a sense of urgency, and the ability to make decisions and take responsibility for them. A well-suited candidate can react and adjust quickly to changing conditions and come up with practical ideas for dealing with them.

Essential Functions

  • Serve as a project communication liaison by relaying communications between the project team and accounting department, providing support to the accounting department with the subcontractor payment process and coordinating to gather required documentation
  • Communicate effectively with clients and subcontractors
  • Demonstrate understanding and alignment of overall OSHA required safety procedures and incorporate these into the projects and department routines as appropriate
  • Handle the drafting, delivery, and receipt of subcontract agreements, purchase order agreements, and service agreements
  • Confirm receipt and coordinate compliance of project insurance
  • Identify bonding requirements with the project team and process bonds (owner, subcontractor, government) for the project
  • Prepare, gather, and file consents of surety at project completion
  • Assist in creating and issuing cost documents and change orders
  • Create and maintain project hard files. Gather and file all electronic, digital, and hard copy originals for record keeping
  • Assist the project team with the closeout phase
  • Complete other tasks as assigned


  • High School Degree or equivalent (required)
  • Bachelor’s Degree or equivalent experience in related field (preferred)
  • Background in construction
  • Possess a basic level of electrical knowledge


  • Experience with Textura, Procore or other project documentation software
  • Experience with Bluebeam or Adobe
  • Excellent in Microsoft Office (Word, Excel, PowerPoint etc.)
  • Notary Public certification or ability to achieve certification
  • Spanish Bilingual (preferred)
  • Ability to multitask
  • Excellent communication skills are a must

Work Environment
This job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines. The employee is occasionally exposed to a variety of extreme conditions at job sites. The noise level at the job sites can be loud.
